About Adelphi Trust Company:

Adelphi Trust Company is a Florida trust company founded in 2022 serving the investment management and trust administration needs of its clients. Adelphi currently has one office in downtown St. Petersburg.

Adelphi Trust Company began with the belief that wealth management, retirement planning and estate settlement services could be provided to clients in a more holistic way and focused on the needs of a broader audience than is currently available in the market.



Job Summary/Purpose:

The Senior Trust Associate is a hybrid role that bridges client service, fiduciary administration, and operational execution. This role sits at the center of the team, supporting Trust Officers, collaborating with operations, and ensuring clients receive a seamless, high quality experience. The position requires strong attention to detail, sound judgment, and the ability to move between technical trust work and day to day execution.

This role is ideal for someone with prior trust, estate or financial services experience who values accountability, collaboration, and consistently delivers high quality work.


 
Job duties and responsibilities include:

Trust Administration & Fiduciary Support

  • Support the administration of trust, estate, IRA, agency, and custodial accounts in accordance with governing documents, fiduciary standards, and applicable regulations.

  • Review trust documents and assist with initial and annual Reg-9 reviews.

  • Coordinate account openings, funding, and documentation.

  • Process transactions and asset transfers per established policies and approval guidelines.

  • May have authority to approve daily transactions within assigned limits and guidelines.

  • Monitor account activity and assist in reconciling discrepancies.

  • Maintain accurate and complete client records in trust accounting systems.

Client Relationship & Operations Support

  • Serve as a point of contact for clients, beneficiaries, attorneys, CPAs, custodians, and advisors.

  • Support Trust Officers with client communications, reporting, and meeting preparation.

  • Participate in client meetings and follow through on action items.

  • Respond to client inquiries promptly and professionally, ensuring a high level of service.

  • May serve as the lead on a small portfolio of accounts.

  • Provide support for trust administration workflows and daily processing.

  • Schedule meetings as requested and assist with coordination of internal and client meetings.

  • Provide administrative and operational support to senior management as needed.

Compliance and Risk Support

  • Assist in ensuring compliance with fiduciary regulations, internal policies, and procedures.

  • Support audit, exam, and regulatory requests.

  • Escalate potential risks, discrepancies, or documentation gaps appropriately.

Projects & Process Improvements

  • Participate in operational and strategic initiatives

  • Contribute to process improvement efforts

  • Support onboarding and workflow enhancements

Learning & Professional Development

  • Stay informed on industry trends, regulatory updates, and best practices.

  • Support the training and onboarding of new Associates.

 


 
Qualifications:

Education & Experience

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field preferred. o Degree may be substituted with relevant trust or financial services experience.

  • Prior experience in trust administration, fiduciary services, or financial services preferred.

  • Experience working with trust accounting systems (e.g., Accutech/Cheetah or similar).

Skills & Competencies

  • Strong attention to detail and organizational skills.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Strong written and verbal communication skills.

  • Demonstrated problem-solving skills and initiative.

  • Proficiency in Microsoft Office, especially Excel and Word.
